Committee Duties

Collegiate Conference Chair

The Collegiate Conference chair will organize and supervise the annual Wisconsin Collegiate Conference. Planning for the winter collegiate conference will take place at the summer meeting.  At this time a date, location, tentative schedule, cost to attend (by pre-registration and at the door), topics to be discussed, and speakers for the topics, need to be chosen. 

All steering committee members have a responsibility to contact speakers. Confirmation of speakers who are willing to come and speak need to be sent to one designated person, who could be the Representative to the Council, in order to make sure that everything is being covered.  The speakers need to be notified of the time and place of the event and how they will be reimbursed for their time and mileage. 

Once a site has been chosen, rooms and other needed space at the site will be reserved to ensure that the event can take place at that location. Ideally, the Collegiate Conference Planner will serve as site manager whose job is to formulate and send out a registration form and tentative schedule to all the chapters.

A schedule of workers will need to be organized.  Listed below are some of the things that will need to be considered by the site manager and helpers:

  • Reserve all the necessary classrooms.
  • Discuss lunch and dinner options.
  • Make signs to hang in the building to direct people to their correct location.
  • Make nametags for all participants who pre-registered and have some blank ones available for those who register that day.
  • Schedule one-hour shifts of people to work at the registration table to handle new registrations, hand out nametags and schedules for the day, and direct people to the correct location. The first shift should begin about forty-five minutes before the first session and end at approximately 1 – 1 ½ hours after the first session has begun.
  • Schedule greeters to welcome people at the doors and direct them registration.  Those greeting at the doors should arrive about forty-five minutes before the first session and stay until approximately halfway through the first session.
